Job description
About Deluxe Holiday Homes
Deluxe Holiday Homes is a leading holiday-home and property-management company in Dubai, managing 700+ premium short-term rentals. The wider Deluxe Homes Group runs several licensed entities, a real-estate brokerage and joint ventures across the UAE and Armenia. As we grow, we are building the records and compliance discipline that keeps it all organized and audit-ready.
Role Overview
We are looking for an organized Legal & Compliance Administrator to keep the group contracts, licenses, permits and documents in order one clean, up-to-date source of truth, with nothing expiring or auto-renewing by accident.
This is an ownership role, not a filing role. You run the registers and the renewal calendar, prepare and first-check agreements, and coordinate the PRO and our lawyers — making the routine calls yourself and flagging anything bigger. We give you the system, the templates
and the support to do it well. Note: This is an administrative role, not a lawyer. Legal opinions, disputes and regulated AML / data-protection duties sit with our external counsel — you organize, prepare, first- check and flag.
Key Responsibilities
Registers and renewals
• Keep one master register of all licenses, permits, tenancies and contracts, with expiry and renewal dates.
• Flag notice windows and auto-renewals in good time, so nothing lapses or renews by accident.
• Maintain the per-unit holiday-home permit and Ejari list; send a short monthly summary to the Founder.
Documents and contracts
• Keep one organized, easy-to-search document library — the single source of truth.
• Prepare routine agreements from templates: tenancy, landlord, guest, vendor, NDA and brokerage.
• First-check incoming agreements — parties, dates, signatures, missing clauses — and flag anything unusual to counsel.
Authorities and coordination
• Coordinate the PRO on license and permit renewals, and handle Ejari registrations.
• Liaise with DET / DTCM, RERA and free zones; manage documents with our external lawyers.
• Keep audit and inspection files ready, and AML / data-protection records up to date under guidance.
Correspondence
• Look after the legal@ inbox — triage, log and chase.
• Draft replies and standard letters for the Founder’s approval.
• Keep the templates library and simple SOPs current.
Job requirements
Required Qualifications
• Some experience in legal admin, compliance admin, paralegal work or real-estate\ admin — a paralegal-trained or law-graduate background is ideal.
• Organized and reliable — you keep documents and deadlines under control without dropping them
• Comfortable reading an agreement and spotting what’s missing or expired.
• Happy to deal with UAE authorities and a PRO, and to use AI tools (ChatGPT, Claude) day to day.
• Takes initiative within your remit — you make the routine calls and flag the rest (we’ll check this with a previous manager).
• Strong written English; UAE-based or able to relocate to Dubai.
Preferred Qualifications
• Arabic — for reading bilingual contracts and dealing with authorities.
• Real-estate or holiday-homes background (Ejari, RERA, DTCM permits).
• Has built or run a contract / license register or document system before.
• Some awareness of real-estate AML (goAML) and UAE data protection — or keen to learn.
• Genuinely interested in a long-term compliance / operations role — not a stepping stone to a law firm.
